These terms and conditions apply to all bookings made with True Africa Escape. By making a booking, you acknowledge that you have read, understood, and agree to be bound by these terms.
A binding contract between True Africa Escape and the client comes into existence when we issue a booking confirmation after receiving the required deposit. The lead client making the booking accepts these terms on behalf of all persons named in the booking and is responsible for all payment obligations. All bookings are subject to availability at the time of reservation. We reserve the right to decline any booking at our discretion. The client warrants that all information provided during booking is accurate and complete. Any changes to passenger details after confirmation may incur administrative fees and could affect the total cost of the itinerary.

All prices quoted are in United States Dollars (USD) unless otherwise specified. Prices are based on costs, exchange rates, and tariffs at the time of quotation and are subject to change without notice until a booking is confirmed with deposit. A non-refundable deposit of 30% of the total tour cost is required to confirm any booking. The balance is due 60 days prior to departure. For bookings made within 60 days of departure, full payment is required immediately. We reserve the right to cancel any booking where payments are not received by the due dates, with applicable cancellation fees. All bank charges and transaction fees are the responsibility of the client. Prices include services as specified in the itinerary; any additional services will be charged separately.
Cancellations must be received in writing from the lead client. The following cancellation charges apply: 60+ days before arrival - loss of deposit; 30-59 days before arrival - 50% of total tour cost; 15-29 days before arrival - 75% of total tour cost; 0-14 days before arrival or no-show - 100% of total tour cost. No refunds will be made for unused services, early departure, or late arrival. Certain suppliers (airlines, lodges) may impose stricter cancellation policies which will be communicated at time of booking. We strongly recommend comprehensive travel insurance with cancellation coverage. In exceptional circumstances, we may offer credit for future travel at our discretion, minus any non-recoverable costs incurred.
Force Majeure: True Africa Escape shall not be liable for any failure or delay in performing our obligations resulting from circumstances beyond our reasonable control including but not limited to acts of God, war, terrorism, civil unrest, industrial action, natural disasters, adverse weather conditions, government actions, pandemics, or any other events outside our control. In such circumstances, we will make reasonable efforts to provide suitable alternatives or refunds for services not rendered, minus any non-recoverable costs.
Travel Insurance Requirement: It is a mandatory condition of booking that all clients obtain comprehensive travel insurance covering medical expenses, emergency evacuation, repatriation, trip cancellation, curtailment, and personal liability. Proof of insurance may be requested prior to departure. True Africa Escape shall not be liable for any costs incurred due to lack of adequate insurance coverage. We can recommend reputable travel insurance providers upon request.
Client Responsibilities: Clients are responsible for ensuring they have valid passports (with at least 6 months validity beyond return date), necessary visas, vaccinations, and compliance with all entry requirements. Clients must disclose any medical conditions, disabilities, or special requirements at time of booking. Clients are expected to behave in a reasonable manner toward staff, other travelers, and local communities. We reserve the right to terminate a client's tour without refund for unacceptable behavior that endangers or inconveniences others.

True Africa Escape acts as an agent for various independent suppliers including accommodation providers, transportation companies, and activity operators. We exercise care in selecting these suppliers but cannot be held responsible for their acts, omissions, or negligence. Our maximum liability for any claim relating to our services is limited to the amount paid for those specific services. We are not liable for any indirect, consequential, or incidental damages. Participation in adventure activities (including but not limited to wildlife viewing, mountain climbing, walking safaris, and water sports) involves inherent risks. By booking, clients acknowledge these risks and accept responsibility for their own actions and decisions during the tour.
Clients must ensure they are medically fit for the activities included in their itinerary. Certain tours (especially Kilimanjaro climbs) require a higher level of fitness and may involve altitude risks. We recommend consulting a physician before booking. Clients with pre-existing medical conditions must disclose these at booking and carry necessary medications. While we take reasonable safety precautions, remote travel in Africa involves certain unavoidable risks including wildlife encounters, road conditions, and limited medical facilities. Clients participate in activities at their own risk. We reserve the right to require a medical certificate for certain tours. Guides may refuse participation to any client they deem unfit for safety reasons.
While we make every effort to operate tours as published, we reserve the right to modify itineraries, accommodation, transportation, or guides when necessary due to operational requirements, safety concerns, weather conditions, or factors beyond our control. Such changes will be communicated as soon as possible. We are not responsible for itinerary changes caused by airline schedule changes, park authorities, or government regulations. In rare circumstances, we may cancel a tour due to insufficient bookings, safety concerns, or force majeure events. In such cases, we will offer alternative dates, a comparable alternative tour, or a full refund of monies paid. We are not liable for additional expenses incurred by clients due to tour cancellations or changes.
Complaints Procedure: Any complaints regarding services must be reported immediately to your guide or our office during the tour to allow us the opportunity to resolve the issue promptly. Complaints received after completion of the tour will only be considered if previously reported during the tour. Written complaints should be submitted within 30 days of tour completion. We will investigate and respond within 30 days of receipt.
Photographic & Video Material: True Africa Escape reserves the right to use any photographs or video material taken during tours for promotional purposes unless clients specifically request otherwise in writing prior to the tour. Clients are responsible for obtaining necessary permissions when photographing local people or sensitive locations.
Environmental & Ethical Responsibility: Clients agree to follow all park rules, respect wildlife viewing guidelines, and adhere to environmental protection standards. Littering, feeding wildlife, or disturbing natural habitats is strictly prohibited. We support responsible tourism practices and expect clients to respect local cultures, traditions, and communities.
Additional terms and conditions that apply specifically to Kilimanjaro climbs, safari tours, and beach holidays in Tanzania
Kilimanjaro climbs involve significant physical challenges and altitude risks. By booking a climb, you acknowledge and accept these risks. A medical questionnaire must be completed prior to the climb. We reserve the right to refuse participation to anyone deemed medically unfit. Summit attempts are not guaranteed and depend on weather conditions, altitude acclimatization, and individual fitness. No refunds are given for failure to reach the summit. Climbing days may be adjusted based on weather conditions and group fitness. All climbers must follow guide instructions regarding pace, rest, hydration, and safety procedures. Emergency evacuation from the mountain is the client's responsibility and must be covered by travel insurance.
Game viewing is subject to wildlife movements and natural behaviors - specific animal sightings cannot be guaranteed. National park authorities may change entry fees, regulations, or access without notice. Safari vehicles may encounter difficult road conditions, especially during rainy seasons. We are not liable for vehicle breakdowns, though we make every effort to maintain our fleet and provide backup when possible. Game drives follow park rules including specified hours; night drives are only permitted in certain areas with special permission. Walking safaris and night drives (where available) require additional waivers. Children under certain ages may be restricted from some activities for safety reasons.
Water activities (snorkeling, diving, swimming) are undertaken at client's own risk. We recommend following local advice regarding sea conditions, currents, and marine life. Some beach destinations have strong tides and currents - swimming may be restricted to certain areas or times. Water sports operators are independent contractors; we verify their credentials but cannot be held liable for their services. Zanzibar and other islands have conservative cultural norms - appropriate dress is expected outside resort areas. Alcohol consumption laws vary by location. Electricity and water supply may be intermittent in some beach locations - this is beyond our control.
Group tours require minimum numbers to operate; we reserve the right to cancel or modify group departures if minimum numbers are not met. Custom itineraries are priced based on specific inclusions; changes after confirmation may affect pricing. For group bookings, the lead client is responsible for collecting payments and information from all group members. Special requests (dietary, room configurations, etc.) will be communicated to suppliers but cannot be guaranteed. Early check-in/late check-out is subject to availability and may incur additional charges. Seasonal supplements may apply during peak periods (Christmas, New Year, migration seasons).
No, the terms and conditions applicable to your booking are those in effect at the time you make your deposit payment and receive your booking confirmation. Any subsequent changes to our general terms will not apply retroactively to existing bookings. However, if government regulations, park fees, or supplier terms change after your booking but before your travel date, we may need to adjust prices or conditions accordingly, and we will communicate any such changes to you promptly. Significant adverse changes that substantially affect your tour would typically allow you the option to cancel without penalty or accept the changes.
Our standard cancellation policy applies regardless of the reason for cancellation, including medical emergencies. This is why we strongly recommend comprehensive travel insurance with cancellation coverage. With appropriate insurance, you can typically claim reimbursement for cancellation costs due to covered medical reasons. We can provide documentation to support insurance claims, but we cannot make exceptions to our cancellation policy except in extreme circumstances at our sole discretion. If you cancel due to a medical issue, we recommend contacting your insurance provider immediately to begin the claims process.
Yes, certain tours have age restrictions for safety reasons. Kilimanjaro climbs typically require participants to be at least 10 years old, with additional restrictions for certain routes. Some luxury lodges may not accept children under certain ages. Walking safaris often have minimum age requirements (usually 12 or 16 years). We also recommend that travelers over 70 obtain a doctor's clearance for strenuous activities. These restrictions are set by our suppliers and are non-negotiable for safety and insurance reasons. Please inquire about specific age requirements when booking, especially for families with children or older travelers.
